Membership terms

These terms sit alongside your written proposal. Where the proposal and these terms differ, the proposal wins.

1. Term and renewal

  • Memberships run for twelve months from the start date confirmed in your proposal.
  • Renewal is discussed sixty days before the term end. Auto renewal can be switched off at any time from the billing page in your portal.
  • Prices are confirmed per term in writing and are not published on the website.

2. Seats and accounts

  • Seats are named people on your organisation account and are subject to the seat limit in your tier.
  • Owners and programme admins may invite, change roles for, and remove colleagues at any time.
  • Every organisation must keep at least one owner.

3. Pooled credits and benefits

  • Credits belong to the organisation, not to an individual.
  • Credits are held when a reservation is requested and confirmed when the events team approves it. A declined or cancelled reservation returns the held credits.
  • Credits and included benefits expire at the end of the term. They do not roll over, cannot be exchanged for cash and cannot be transferred to another organisation.
  • Discounts and included benefits are not stackable on the same booking.

4. Events and capacity

  • Public event capacity is managed by the events programme, so a reservation request is a request, not a confirmed booking.
  • Curated evenings, patron previews and VIP invitations may require approval and can be limited by venue capacity.
  • Where a third party runs the venue, their house rules apply on the night.

5. Private experiences

  • Included and discounted experiences follow the published scope. Venue hire, travel, accommodation, materials beyond the standard kit and out-of-hours delivery may be chargeable.
  • Experience requests are quoted before anything is committed.
  • Cancellation within fourteen days of a confirmed private experience may incur custodian and venue costs already paid.

6. Impact, naming and recognition

  • Impact allocations fund named custodian programmes and are reported once delivered.
  • Any public use of custodian names, stories, likeness or imagery requires the relevant community's approval.
  • Co-branding and public recognition are optional. Members may keep their participation private.

7. Payment

  • Connect and Engage members may pay by card from the billing page once a proposal is accepted.
  • Impact and Custodian memberships are invoiced, with payment terms set out on the invoice.
  • Membership benefits are released when the term is activated by the partnerships team.

8. Cancellation

  • A membership may be cancelled at any time for future terms.
  • Fees for the current term are not refundable once benefits have been released, except where required by law.
  • On cancellation, remaining credits lapse at the end of the paid term.

9. Acceptable use

  • Membership is for the named organisation and its people. Seats may not be resold.
  • Content shared in briefings, archives and documentation is provided for internal cultural learning, not for resale or commercial reuse without written permission.
  • We may suspend an account for conduct that puts custodians, staff or other guests at risk.
